Guest recognition when you cannot remember everyone

Personal service is a data problem once you pass a few hundred guests.

Small hotels are excellent at recognition until they are not. One long-serving receptionist can carry a few hundred faces. Past that, or after that person leaves, the advantage disappears overnight.

The answer is not a CRM project. It is a profile the whole team can see: how many times this guest has stayed, what level they are, what they prefer and what somebody noticed last time.

Recognition works because it is specific. 'Welcome back' means little. 'Welcome back, we kept the quiet side of the building for you' means everything.

Keep notes factual and useful. A preference is helpful; an opinion about the guest is a liability and should never be written down.

Done well, recognition raises repeat rate more reliably than any discount, because it cannot be copied by a competitor with a bigger budget.
